Shift Reports

Shift reports are an important way to keep in communication with your supervisors. For each late-night shift that you work, we ask that you email your supervisors and indirect supervisors (Molly McFadden, Hannah Engel, Amanda Ma, Laura Hutton, Brad Matthies). For each shift, you may or may not have items to report back related to the following headers: Circulation, Student Employees, Patrons, Building, Technology, Security, Other.

Here is the email template that you can click to auto-fill your report, or you can copy and paste these emails into a new message: mcfadden@gonzaga.edu; engelh@gonzaga.edu; maa@gonzaga.edu; hutton@gonzaga.edu; matthies@gonzaga.edu.

Many nights, you may have nothing to report. When that is the case, please send a shift report letting us know that there is nothing to report (that way we are not left wondering!).

Be sure to send your shift report after the last patron leaves (right before you restart the last terminal).

If there are two lead grads on duty, only one of them needs to send a shift report.

If you are on a shift with another lead grad, you should discuss at the beginning of the shift who will be responsible to send the shift report for that night.

You may wish to include the other lead grad in the "to" field of your shift report email, so that you can both respond in the event of follow-up questions from your supervisors.

IMPORTANT NOTE: If you send the email from a shared inbox (such as the Circulation Inbox), make sure that you sign the email so that we know who to ask if we have follow-up questions about your report.

Example of a shift report.

Late-Night Shift Report for Tuesday, June 26, 2024

Circulation

A faculty member (Name, ID Number) came in to pick up a book (Title of book), but it was not on the hold shelf. I let them know a supervisor would follow up tomorrow.

Patrons

A community user piggy-backed into the building and asked to use a visitor terminal. I let them know to come back during regular visitor hours, and they left without incident.

Building

The leak is back over the LB section. I called Security to let them know to call Plant.

Technology

Nothing to report.

Student Employees

Everyone was on time and on task!
